Maintenance Import Guide — Background and Process Flow

1 Background Information
The MADE Import capability allows the user to import system model, maintenance and reliability information via a structured Excel Spreadsheet (.xlsx) format.
The content of this document contains a detailed explanation of how to use the MADE Import capability to pull maintenance data into the software.
2 Prerequisites & Dependencies
2.1 Prerequisites
- Project Creation — A project with a system hierarchy is required to assign Maintenance Information to items within it.
- Configuration Creation — A configuration is required to be defined. This is required for MADE to read in the XLSX file and the data within it. Refer to the Import Configuration User Guide (see
import-configuration-guide.mdin this knowledge base).
2.2 Dependencies
- System Model — Data that is imported from the MADE Import capability is stored on Model Items.
- RAMS Analyses — The Maintenance Data will impact most RAMS-related analyses in MADE, including:
- Model-based RCM
- Back-fit RCM
- Maintenance Cost Estimates
3 Step-by-Step Process Flow
Step 1: Select Import from the File Menu
Select (left-click) File in the MADE menu and select (left-click) Import from the context menu.
Figure 1 shows the File menu: New (Ctrl+N), Open (Ctrl+O), Close Project, Close All Editors (Ctrl+Shift+W), Save All (Ctrl+S), Save Project As, Load from Library, Save to Library, Import (Ctrl+Shift+I), Export (Ctrl+Shift+E).
Step 2: Select "Browse…" in the Import Wizard and Select the XLSX Import File
Select (left click) "Browse…" in the Import Wizard. An Open dialog should appear where the user should navigate to the location of the XLSX Import File. Select (left click) the XLSX file and select Open.
Figure 2 shows the "Import Wizard" first page: File Location (with Browse... button), Import Type radio options: Model Items, Maintenance Actions, Model Items and Maintenance Actions — each with Model Configuration / Maintenance Action Configuration dropdowns and New... buttons.
Step 3: Select an Import Type, Choose the Configurations and Select "Next >"
Select (left click) the Maintenance Action under the Import Type heading. From the dropdowns, select the appropriate existing configuration. Otherwise, click New to create a new configuration. For more information on creating Configurations, refer to Import Configuration User Guide.
Once the Import Type and Configurations are selected, select "Next >".
Figure 3 shows a sample configuration: File Location = "C:\New folder\Maintenance Action Sync Test (100522).xlsx", Import Type = Model Items and Maintenance Actions (selected), Model Configuration = "Model config1", Maintenance Action Configuration = "Config1".
Step 4: Review the Errors and Warnings in the Imported File Problems Dialog (if applicable)
The Imported File Problems Dialog will appear if there are Errors or Warnings.
Errors will generally describe any columns which cannot be found in the XLSX file. Errors cannot be skipped and will require the user to resolve.
Warnings will generally describe any field which cannot be found to be populated from the XLSX file. Warnings can be skipped to continue the import.
Select Close or Cancel to move onto the next section.
Figure 4 ("Import Wizard - Imported File Problems") shows a "Some problems were encountered during file import. Affected input items will be ignored if you continue." banner, with 4 Warning-category rows, e.g.:
- Maintenance Tasks, Row 30: "Orphaned maintenance task record in row 30, a Maintenance Action with Maintenance Action ID (MA29) was not found in the input file, this row will be ignored."
- Maintenance Tasks, Row 61: similar, for MA29.
- Maintenance Items, Row 30: "Orphaned maintenance item record in row 30, a Maintenance Action with Maintenance Action ID (MA29) was not found in the input file, this row will be ignored."
- Maintenance Items, Row 61: similar, for MA29.
Buttons: Copy to Clipboard..., Continue, Cancel.
Step 5: Verify the Correct Information Has Been Imported to the Correct Model Items
By selecting (left click) each item in the Imported Items list, the user can view the information which has been imported corresponding to that item by viewing the Details section.
If the user is satisfied that the correct information has been imported to the correct Model Items, "Next >" can be selected. If not, the user can go back and check the XLSX spreadsheet and/or configurations.

Figure 6 ("Import Wizard – Review Inspection Tasks") shows the same tree with "(IT1) Inspection Task 1" selected, Details: Name: Inspection Task 1, Task ID: IT1, Activity Type: Inspection, Downtime?: Yes, Duration (hrs): 1.00.
Step 6: Verify the Maintenance Actions, Tasks and Personnel Are Assigned to the Correct Model Item
By viewing the Updated Items list, the user can view the Model Items which will have Maintenance Information assigned. The Synchronize Model page is primarily used when updating/replacing model information, but in this step, information is not being replaced but imported. Due to this, the Current Value column fields are empty, because there is currently no information in the model to replace/update.
Refer to the Synchronization of Maintenance Information section (see maintenance-import-guide-synchronization.md) for more information.
If the user is satisfied with all the Maintenance Information to be imported, the user can check all items in the Updated Items list and select "Finish". By doing this, all Model Items will be updated with the Maintenance Information which appeared beneath it in the hierarchy tree in Updated Items. Selecting "Finish" will complete the import of Maintenance Information.
If the user would like to continue the import to assign the Maintenance Information to Model Items themselves, the user can select "Next >".
Figure 7 ("Import Wizard – Synchronize model") shows the "Synchronize Model" page: "Select items to update from the input file then click Next to continue importing items or Finish to complete the wizard without importing any additional items." A tree of Updated Items — (VS1) Vehicle System > (SS1) Driveline > * (MA2) Maintenance Action 2 [checked] > * (IT2) Inspection Task 2 > * (IP2) Inspection Personnel 2, * (MT2) Maintenance Task 2 > * (MP2) Maintenance Personnel, * (II2) Inspection Item 2, * (MI2) Maintenance Item 2 — all checked. Details panel columns: Property, Current Value, New Value (all empty in this "import, not update" scenario). Select All / Select None buttons.
Step 7: Select "Next >" on the Import Components and Maintenance Actions Page
MADE items which are defined in the Palette and MADE example library can be assigned to the Imported Model Items. Since Model Items are not being imported in this section, it can be skipped. The user can select "Next >".
Figure 8 ("Import Wizard – Import Components") shows the "Import Components and Maintenance Actions" page: left pane "Palette & MADE Library" (Mechanical > Driveline System (4x4), Driveline System (6x6), Electronic Point Machine, Flight Control System (F15) [selected/highlighted], Landing Gear System (Fixed), Landing Gear System (UAV), Powertrain (4x4), Ramp Control System (Bow...), Steering System (4x4), Tracked Vehicle Driveline, Vehicle System; Pneumatic), with "Automatically search for selected item" checkbox and "Open Library" button; right pane "Imported Model Items" — (SS1) Subsystem 1 with Component 1-5 (drag target shown for Flight Control System (F15) → Component 1), (SS3) Subsystem 3 with Component 11-15, (SS2) Subsystem 2 with Component 6-8; "Clear all imported" button.
Step 8: Import Components and Maintenance Actions to the Project
Finally, to import the Maintenance Actions, the user must select (left-click) and drag the items which are to be included in the Current Project Explorer.
The user can select a Maintenance Action to drag across to the Current Project Explorer and drop on appropriate model item(s).
Once the user has completed populating the current project with Maintenance Actions, the user can select "Finish" to complete the import process.

Figure 10 ("Import Wizard – Import Maintenance Actions (Resulting model tree)") shows the result after multiple drag operations: left pane "Unassigned Maintenance Actions" (MA1 remaining), and "(SS1) Subsystem 1 (Flight Control System (F15))" with Components 1-5 each carrying an assigned Maintenance Action (C1→MA7, C2→MA8, C3→MA9, C4→MA10, C5→MA11), plus (SS3) Subsystem 3 > (C11) Component 11; right pane "Current Project Explorer" — (VS1) Vehicle System > Power Generation, Driveline (SS1) > Transmission, Driveshaft, Differential, Half Shaft Front/Rear, Planetary Gearbox Front/Rear, Wheel Rear, Wheel Front, Wheel Resistane Front/Rear, (MA1) Maintenance Action 1 [now assigned to Coupling], Coupling.
Step 9: Verify All Maintenance Information Is Imported
Once the import process is completed, the Maintenance Actions editor opens automatically for all the model items for which maintenance data is imported.

Alternatively, right-click an item in the Project Explorer and select Maintenance Actions from the context menu. Verify that the item contains Maintenance Information.
